iCIMS resume format and parsing guide
iCIMS sells an applicant tracking system and career sites to employers. You meet it when a job posting sends you to the employer's iCIMS career portal, where you create a profile, upload a resume and answer the employer's questions. iCIMS publishes a candidate guide, and most of this page follows it.
What iCIMS is
iCIMS calls its product "a comprehensive enterprise-grade applicant tracking system and AI-powered recruitment software", and offers employers branded career sites. (iCIMS) For questions about an application it points you back to the employer: its contact page tells job seekers that for an update on an application, they should contact the company directly. (iCIMS)
How you usually meet iCIMS
- Go from the posting to the portal. The City of Guelph's instructions, for example: click "Apply For This Position", get redirected to the iCIMS application system, then click "Apply For This Job Online". (City of Guelph)
- Enter your email. iCIMS's guide says the system "will identify whether you're a new applicant or a returning applicant". New applicants enter a name and email and create a login and password. (iCIMS Community)
- Upload your resume, from your computer, Google Drive, Dropbox or OneDrive. iCIMS advises uploading it before completing other fields.
- Answer the employer's questions and submit. Guelph's instructions end with a job questionnaire and the message "Your application was submitted successfully".
- Check status later on the Dashboard, which iCIMS says shows a summary of your past job submissions; available options "may depend upon the company".
What the documentation says about your resume
- "When uploading a resume, the system may populate some profile fields with the information from that resume." That is why the guide suggests uploading first. (iCIMS Community)
- Upload rules are the employer's. The City of Guelph requires the cover letter and resume to be uploaded as one document. (City of Guelph)
- For application status, iCIMS points you to the employer, not to iCIMS. (iCIMS)
Practical file advice
- Upload the resume before anything else. So the portal can fill what it can, then correct the rest.
- Check every populated field. "May populate some profile fields" means some may be empty or wrong. Compare them with your resume.
- Read the employer's upload instructions. Keep a single PDF with your cover letter followed by your resume ready for employers that ask for one document.
- Use a text-based file. Parsing can only use text it can extract. The free check shows what a text extractor gets from your PDF.
- Ask the employer about status. Not iCIMS. Use the Dashboard first, then the contact in the job posting.
What our own test shows, and what it doesn't
In a study dated 9 October 2026, we exported 21 PDFs from Resumity's 7 templates and read them back with three open-source text extractors, pdf.js, pdftotext and pypdf (63 extractions). Every name, email, phone number, section heading and bullet came back intact and in order. That tells you the text layer of those PDFs is complete.
It does not tell you how iCIMS reads the same file. We have not tested Resumity's templates in iCIMS, and each employer configures its own setup. The method, limits and raw data are on how we test our templates.
See what software can read in your PDF
The free check reads your PDF in your browser (the file is not uploaded) and shows whether your name, email, phone, section headings and dates can be extracted. It is not iCIMS and can't tell you how a particular employer's setup will treat your file, but if the text doesn't come out cleanly there, fix that first.
