Workday resume format and parsing guide

Workday sells HR software to employers, including a recruiting product. When an employer uses it, clicking Apply on its careers page usually takes you to that employer's own Workday site: a multi-step form that can fill part of itself from your resume. We could not find an applicant guide published by Workday, so the steps below come from guides two employers publish for their own applicants.

What Workday is

Workday describes its talent acquisition software as an AI platform to "find, engage, and select top talent faster while streamlining work for your entire hiring team", with interview scheduling and candidate engagement "from interest to application to decision". (Workday) It is sold to employers, so each one sets up its own career site, questions, file limits and process.

How you usually meet Workday

  1. Open the employer's Workday site. From the job ad, click Apply. Aalto University's guide, for example, links to its site on a myworkdayjobs.com address. (Aalto University)
  2. Sign in or create a candidate profile for that employer. Aalto's guide shows the profile settings where you can change your details or delete your information.
  3. Choose how to start. Colorado State University Pueblo's guide describes an "Autofill from Resume" option that fills your experience history from the resume you upload. (Colorado State University Pueblo) When reapplying, Aalto suggests "Use My Last Application" to have some fields filled already.
  4. Complete the sections. Aalto lists My Information (name, address, email, phone and a few questions), My Experience (work experience, education, application documents, websites), up to three sets of the employer's own questions, and Voluntary Disclosures.
  5. Review and submit. Aalto's review step lets you edit or save for later, and it advises downloading the summary because your answers to extra questions are not visible after you submit. CSU Pueblo says you should receive an automated confirmation email.

What the documentation says about your resume

  • Autofill is a starting point. CSU Pueblo's guide says to review all entries carefully before submitting, and Aalto's form ends with a review step where you can still edit.
  • Your history ends up in two places: the fields you confirm in My Experience and the file you attach. Aalto lists them as separate items in the same section. (Aalto University)
  • CSU Pueblo recommends PDF ("PDF files are typically easier to upload and help preserve formatting") and lists uploading photos or screenshots instead of PDFs as a common mistake. (Colorado State University Pueblo)
  • After you submit, Aalto says the only way to update an application is to withdraw it and reapply. Limits are the employer's: Aalto allows up to 5 documents of up to 5MB each.

Practical file advice

  1. Upload a text-based PDF. Not a scan, photo or screenshot. If you can select and copy the text in a PDF viewer, software can usually extract it too.
  2. Treat autofill as a draft. Go through each job title, employer, date and description, and each education entry, against your resume before you submit.
  3. Keep each role in one block. Our suggestion, not Workday's: title, employer and dates on their own lines in one consistent format ("Jun 2023 - Present"), so each role is easy to map to one entry.
  4. Save your answers. Download or copy the summary before submitting; some employers' setups hide your answers afterwards.

What our own test shows, and what it doesn't

In a study dated 9 October 2026, we exported 21 PDFs from Resumity's 7 templates and read them back with three open-source text extractors, pdf.js, pdftotext and pypdf (63 extractions). Every name, email, phone number, section heading and bullet came back intact and in order. That tells you the text layer of those PDFs is complete.

It does not tell you how Workday reads the same file. We have not tested Resumity's templates in Workday, and each employer configures its own setup. The method, limits and raw data are on how we test our templates.

See what software can read in your PDF

The free check reads your PDF in your browser (the file is not uploaded) and shows whether your name, email, phone, section headings and dates can be extracted. It is not Workday and can't tell you how a particular employer's setup will treat your file, but if the text doesn't come out cleanly there, fix that first.
