Accounts payable specialist resume template

Short answer

Leslie fits an accounts payable resume because it prints your jobs before your skills, so a controller sees invoice volume, match rates and payment timing before a list of software. The fictional sample processes about 1,400 invoices a month for a regional distributor, cut duplicate payments with a vendor master cleanup and moved most suppliers to ACH. Download it as PDF or Word, or edit it in the builder.

Why Leslie suits an accounts payable specialist resume

Leslie prints Work Experience straight after a short summary and before Skills, under a centred header with one blue accent. AP hiring managers judge volume, accuracy and controls first, so the jobs should sit high on the page, ahead of the ERP list.

Second choice: Meridian. Meridian puts skills above experience in black and grey, useful if the posting screens hard for one ERP such as SAP or NetSuite.

What goes in each section, in Leslie's order

Leslie prints its sections in a fixed order, the same in the PDF and the Word file. Here is that order for this sample, and what to put in each section.

  1. Professional Summary. Two lines: invoice volume per month, the ERP you work in and the kind of spend (inventory, freight, services). Add one control you own, such as vendor setup or the payment run.
  2. Work Experience. One job line per employer with the company type. Bullets in this order: volume and turnaround, accuracy (duplicates, exceptions, match rate), controls, then one improvement you led.
  3. Skills. Process words first (three-way match, vendor master, 1099 reporting, payment runs), then systems (ERP, invoice capture, Excel). Leslie prints group labels, so keep the groups honest.
  4. Education. Degree or coursework in accounting or business with the year. If you have none, keep the line short and let the experience carry the page.

Danielle Ortiz

Accounts Payable Specialist, Multi-Entity Distribution

Columbus, OH | danielle.ortiz@example.com | (614) 555-0163 | linkedin.com/in/sample-danielle-ortiz

Accounts payable specialist with five years in distribution, processing about 1,400 invoices a month across three entities in NetSuite. Owns vendor setup checks and the weekly payment run.

Experience

Accounts Payable Specialist, Northfield Supply Partners, Columbus, OH (03/2022 to Present)

  • Process about 1,400 inventory, freight and services invoices a month for three entities, most within three business days of receipt.
  • Cleaned the vendor master with the purchasing team, merging 210 duplicate records; duplicate payments caught in review dropped from several a quarter to none in the last two quarters.
  • Moved 140 suppliers from paper checks to ACH, so most of the weekly payment run now goes out electronically.
  • Verify every bank detail change by calling the vendor on a number already on file, and keep vendor setup separate from payment approval.
  • Prepare month-end AP accruals and the open invoice aging for the senior accountant.

Accounting Clerk, Riverside Hardware Group, Dayton, OH (06/2019 to 02/2022)

  • Entered and matched purchase orders, receipts and invoices for 12 retail stores.
  • Reconciled vendor statements each month and cleared aged credits with suppliers.
  • Collected and checked W-9 forms ahead of year-end 1099 filing.

Skills

Three-way match, Vendor master data, Payment runs, Month-end accruals, 1099 reporting, Vendor statement reconciliation, NetSuite, Invoice capture software, Excel (XLOOKUP, pivot tables), Clear vendor communication, Deadline management

How to make the sample yours

Count what you processed

Invoices per month, vendors on file, payment runs per week. Volume tells a reader at once whether your old desk matches theirs; a 300-invoice desk and a 5,000-invoice desk are different jobs.

Show accuracy with an exception you fixed

Duplicate payments caught, match exceptions cleared, statement reconciliations brought current. One concrete fix (what was wrong, what you changed, what stopped) reads better than calling yourself detail oriented.

Name the controls you own

Vendor setup and bank detail changes are where AP fraud happens, so say if you verify changes by callback, separate setup from payment, or review the positive pay file.

Match the system words in the posting

If the job says SAP and you used Oracle, list Oracle honestly and show the transferable steps: invoice entry, matching, approval routing, payment proposals.

Replace the sample numbers

The 1,400 invoices and the ACH share in the sample are illustrations. Use your own counts, or describe the scope without numbers if you do not know them.

Keywords to keep where they are true

Terms this kind of resume is usually searched for. Use the posting's exact wording, and only for work you have done.

  • accounts payable
  • three-way match
  • invoice processing
  • vendor master data
  • payment runs
  • ACH
  • 1099 reporting
  • vendor statement reconciliation
  • month-end accruals
  • purchase orders
  • NetSuite
  • duplicate payment prevention

Mistakes to avoid

  • Calling yourself detail oriented without one example of an error you caught.
  • Leaving out volume, so the reader cannot tell the size of your desk.
  • Listing every ERP screen you have opened instead of the processes you ran.
  • Bank details, real vendor names or any internal control weakness from a past employer.

Frequently asked questions

How long should an accounts payable resume be?

One page for most AP specialists. Add a second page only if you have run AP for several entities or led a system change that needs explaining.

What should I write if I only used one ERP?

Name it and describe the steps you ran in it: invoice entry, matching, approvals, payment proposals. Employers who use another system mainly want to know you understand the process and the controls.

Should I include invoice volume if it was small?

Yes. A small, accurate desk is still useful information, and a reader can judge fit better from real numbers than from adjectives.

Is AP experience enough to move into general accounting?

It often helps. Show the accounting work around AP, such as accruals, reconciliations and month-end support, so a reader sees more than data entry.

Will applicant tracking systems read this Leslie PDF?

The sample PDF read back with its contact details, all 4 section headings and all 8 bullets intact in three open-source text extractors (pdf.js, pdftotext and pypdf). Commercial systems such as Workday, Greenhouse or Taleo were not tested, and each employer configures its own.
