What does a full-charge bookkeeper resume need to show?
A full-charge bookkeeper handles everything up to the trial balance or financial statements, not just one function. Make that scope obvious: list the close tasks you own (reconciliations, accruals, depreciation, payroll entries) and who receives your work, usually the owner and an outside CPA.
If you only handle AP or AR today, title the job honestly and show the pieces of the full cycle you already touch. Hiring managers check scope in the interview, and a mismatched title is easy to spot.
Which bookkeeping software should you list?
Name the exact products, because employers filter on them: QuickBooks Online and Desktop are different skills, and Xero, NetSuite and Sage Intacct each have their own workflows. Add payroll systems (Gusto, ADP, Paychex), AP tools (BILL), expense tools (Expensify, Ramp) and receipt capture (Dext, Hubdoc).
Excel still matters. Mention the functions you actually use, such as pivot tables, XLOOKUP and SUMIFS, and any reconciliation templates you built.
- Accounting: QuickBooks Online, QuickBooks Desktop, Xero, NetSuite, Sage Intacct
- Payroll: Gusto, ADP, Paychex
- Payables and expenses: BILL, Expensify, Ramp
- Spreadsheets: Excel pivot tables, XLOOKUP, SUMIFS
How do you write a bookkeeping resume with no experience?
Start with proof that you know the basics: an accounting certificate or associate degree, the QuickBooks Certified User exam, and any coursework in payroll or small business accounting. Volunteering with the IRS Volunteer Income Tax Assistance (VITA) program or keeping the books for a club or church also counts.
Then mine past jobs for money handling: balancing a cash drawer, preparing deposits, processing invoices, entering expenses. Write those bullets in bookkeeping language, such as "reconciled daily register totals to the deposit slip".
How should freelance and firm bookkeepers show multiple clients?
Group all client work under one entry, then give the count, industries and cadence: "15 monthly clients in e-commerce and creative services, statements delivered by the 10th". Call out cleanup and catch-up projects separately, because they show you can untangle messy books.
Never name clients without permission. Industry, revenue range and the systems you set up describe the work well enough.

Mistakes to avoid on a bookkeeper resume
- Listing software without depth. "QuickBooks" alone says little; say whether it is Online or Desktop and what you did in it (setup, migration, payroll, reporting).
- Duties with no volume. "Processed invoices" should become "processed 400 invoices a month with three-way matching".
- Overstating scope. Calling yourself full-charge when someone else closes the books will come out in the first technical question.
- Leaving out accuracy evidence. Clean audits, fewer CPA adjustments and on-time tax filings are the results this job is judged on.
- Sharing confidential numbers. Use ranges or percentages rather than a client's exact revenue or payroll.
Frequently asked questions
What should a bookkeeper put on a resume?
The functions you handle (AP, AR, reconciliations, payroll, close), the size and number of entities or clients, your software, any certifications such as Certified Bookkeeper, and results like faster close or fewer audit adjustments.
What skills do bookkeepers need on a resume?
General ledger work, accounts payable and receivable, bank reconciliation, journal entries, payroll, sales tax and financial statements, plus QuickBooks or Xero and Excel. Accuracy, confidentiality and deadline management are the soft skills employers look for.
How do I write a bookkeeping resume with no experience?
Lead with an accounting certificate or degree and a QuickBooks credential, then add VITA volunteering, club treasurer work and any job where you handled cash, deposits or invoices, described in bookkeeping terms.
Is a bookkeeping certification worth putting on a resume?
Yes. The AIPB Certified Bookkeeper credential and Intuit QuickBooks certifications are recognized by employers and firms, and they help most when your experience is short or informal.
How much do bookkeepers make?
The BLS reports a median pay of $50,670 per year for bookkeeping, accounting and auditing clerks in May 2025. It projects employment to change by -6% (decline) for 2025-35, which makes software, close and reporting skills more important to show.
What is the difference between a bookkeeper and an accounting clerk resume?
An accounting clerk resume usually centers on one function such as AP or AR inside a larger finance team. A bookkeeper resume shows broader ownership of the books, often through reconciliations, payroll and the trial balance.
