Declaration in a resume: format, sample wording and when to skip it

Many Indian resumes end with a short declaration: one sentence saying the information above is true, followed by place, date and name. The habit comes from government and bank applications, where a declaration is required. On a private-company resume it is optional. Below are sample lines, the official texts two big recruiters use, and when to leave it out.

The format

Declaration

I hereby declare that the information given above is true to the best of my knowledge and belief.

Place: Lucknow

Date: 12 October 2026

(Your full name)

It goes at the very end, under its own heading. On a printed copy you sign above your name; in a file you upload, typing your name is enough.

Where it comes from: two official declarations

IBPS (public sector bank recruitment)

The IBPS notification for Probationary Officers (CRP PO/MTs-XVI, 30 June 2026) asks every applicant to upload a hand-written declaration with this text:

“I, __________ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required.”

It must be in the candidate’s own handwriting, in English only and not in capital letters, written on white paper in black ink. The notification asks for a jpg or jpeg of 50 to 100 KB (800 × 400 pixels at 200 DPI preferred). Candidates who cannot write may have the text typed and put their left thumb impression below it.

SBI bio-data form

SBI’s bio-data form for specialist cadre officers ends with a longer certification that begins:

“I certify that the particulars furnished above are true, correct and complete to the best of my knowledge and belief.”

It goes on to cover willingness to serve anywhere, a declaration about criminal convictions, and the bank’s right to cancel an appointment if the particulars turn out to be false.

The lesson for both: when a recruiter gives you a declaration text, copy it word for word. Do not swap in your own resume line.

When to include it, and when to skip it

SituationDeclaration?
Government, PSU or bank application formYes, in the form’s own words. It is part of the application.
Biodata, or a resume for a government contract postYes, at the end, with place, date and signature.
Schools, local firms and employers that expect a traditional formatOptional, and common.
Private companies, startups and job portalsOptional. Fine to leave out, especially on a one-page resume.
Applications outside IndiaUsually leave it out; it is not a common convention in, for example, UK or US resumes.

Formatting tips

  • Keep it to one or two sentences under a heading called Declaration.
  • Type it. A scanned signature image adds no readable text to a file and makes it bigger.
  • Update the date each time you send the resume.
  • Follow the recruiter’s rules exactly when they set any: IBPS, for example, does not accept a declaration written in capital letters.
  • Never sign a declaration over details you are unsure of. Check dates and marks against your documents first.

Questions

Is a declaration required on a private-job resume?

Only if the employer asks for one. Leaving it out is normal for private companies. What matters is that everything on the resume is true, with or without the line.

Should I sign the declaration?

Sign printed copies you hand over. For files you upload or email, type your name under the place and date.

Can I write the declaration in Hindi?

Yes, if the rest of the resume is in Hindi or the employer accepts Hindi. When a recruiter prescribes the language, as IBPS does (English only), follow it.
