Executive assistant resume template
Short answer
Catalyst fits an experienced executive assistant: it opens on your current job and prints no summary, so the executive you support, the meetings you run and the decisions you take off their plate are read first. The fictional sample supports the CEO and leadership team of a 600-person medical device company after four years supporting a bank CFO, with major events listed at the end.

Why Catalyst suits an executive assistant resume
Catalyst starts with work experience and prints no summary, which suits an EA whose current executive and scope make the case: who you support, how many people you coordinate, what you run. The headline under the large left-aligned name carries your level (CEO, leadership team), and the teal headings keep two or three jobs easy to follow.
Second choice: Leslie. Leslie keeps a summary and prints experience before skills, better if you need a sentence to explain a move from office administration into executive support.
What goes in each section, in Catalyst's order
Catalyst prints its sections in a fixed order, the same in the PDF and the Word file. Here is that order for this sample, and what to put in each section.
- Work Experience. Name the executive by title (CEO, CFO, general counsel), the company size and any team you also support. Then show judgment rather than chores: how you triage the calendar and inbox, the board or leadership meetings you run, budgets you manage. Volume (trips booked, meetings scheduled) earns one bullet.
- Skills. Executive support skills (calendar triage, board logistics, travel, expenses, event planning), then tools by name: Microsoft 365 or Google Workspace, Concur, a board portal, Zoom or Teams. Catalyst prints labelled rows, so keep the two apart.
- Education. Degree or highest education with the year. Executive support is hired on track record, so one line is enough.
- Selected events. A short events list shows planning scale: an offsite, an all-hands, an office move. Give headcount and budget where you can.

How to make the sample yours
Name your executive by title, not name
Write "Executive Assistant to the CEO" rather than the person's name. It shows the level of trust without disclosing anything personal.
Show the triage rules you set
A bullet about how you decide what reaches your executive (a weekly priorities review, a meeting request form) reads as partnership rather than scheduling.
Give events a size and a budget
Replace the 40-person offsite with your own events: headcount, kind of venue and whether you stayed within budget.
Mention confidential work in general terms
Board materials, compensation documents, deal preparation: say you handle them, never what they contained.
Include people you lead or train
If you manage other assistants or coordinate a pool, give the number. It separates senior EA roles from single-executive support.
Keywords to keep where they are true
Terms this kind of resume is usually searched for. Use the posting's exact wording, and only for work you have done.
- executive assistant
- C-suite support
- calendar management
- inbox triage
- board meeting preparation
- travel coordination
- expense reporting
- event planning
- confidentiality
- project coordination
- Microsoft 365
- Concur
- stakeholder communication
- meeting minutes
Mistakes to avoid
- Naming the executive or mentioning personal errands you handled for them.
- A duty list ("answered phones, booked travel") with no scope or judgment.
- Leaving out headcounts and budgets for events you ran.
- Calling yourself a "gatekeeper" and nothing more; show how you protect time and still move work forward.

Frequently asked questions
Should an executive assistant resume have a summary?
It is optional. This sample uses Catalyst, which prints no summary, and lets the headline ("Executive Assistant to the CEO") and the first bullets set the level. Pick a template with a summary if you are changing industries or moving up from an administrative role.
How do I show confidentiality on an EA resume?
Describe the kinds of material you handle (board papers, compensation files, deal documents) and who trusts you with them, in general terms. Never include specifics.
What numbers can an executive assistant use?
People supported, time zones covered, trips and events per year, event headcounts and budgets, and team members you lead. Pick figures that show scale and judgment.
Should I name the executive I supported?
Use the title instead. "Executive Assistant to the CEO" tells the reader the level without exposing a name, and references can come later in the process.
How do I move from administrative assistant to executive assistant?
Show work where you acted for a leader: calendar decisions you made, meetings you ran, events you owned, budgets you tracked. Ask to support one senior person and record what you took off their desk.
Will applicant tracking systems read this Catalyst PDF?
The sample PDF read back with its contact details, all 4 section headings and all 8 bullets intact in three open-source text extractors (pdf.js, pdftotext and pypdf). Commercial systems such as Workday, Greenhouse or Taleo were not tested, and each employer configures its own.
